We are seeking an organized and proactive Executive Assistant with accounting expertise to support our executive team. The successful candidate will handle a broad range of administrative tasks, financial record-keeping, and project coordination, acting as a critical link in managing the day-to-day operations of our leadership team.

Job Summary
The Executive Assistant with Accounting Experience will provide high-level administrative and financial support to the executive team. This role requires strong attention to detail, proficiency in financial management, and exceptional communication skills. The candidate will be responsible for managing executive calendars, overseeing budgeting activities, and acting as a liaison between the executives and internal/external stakeholders.

Key Responsibilities
Executive Support:

  • Manage executive calendars, scheduling meetings, coordinating travel arrangements, and preparing itineraries for business trips and events.
  • Prepare executive-level reports, presentations, and documents, often involving financial or strategic analysis.
  • Serve as the primary point of contact for the executive team, screening calls, emails, and inquiries, and handling communication on behalf of executives.
  • Financial Management and Accounting Tasks:

  • Oversee accounting duties including invoice processing, expense tracking, budget monitoring, and reconciling accounts.
  • Prepare monthly and quarterly financial summaries and assist in budget preparation and financial forecasting.
  • Collaborate with the finance team to generate expense reports, review financial statements, and provide insights for budgeting decisions.
  • Ensure all financial records comply with company policies and Ghanaian financial regulations, facilitating audits as necessary.
  • Project Coordination and Administrative Support:

  • Track project deliverables, deadlines, and milestones, updating executives and coordinating across departments to ensure timelines are met.
  • Maintain and organize confidential files, records, and documents, ensuring accessibility and accuracy.
  • Prepare internal and external communication materials, such as emails, reports, and memos, to support project and executive needs.
  • Client and Stakeholder Management:

  • Liaise with clients, vendors, and stakeholders on behalf of the executive team, coordinating meetings, communications, and follow-ups.
  • Support executives in preparing for meetings with stakeholders, including gathering data, compiling reports, and summarizing key points for strategic decision-making.
  • Marketing and Social Media Support:

  • Develop and implement social media strategies that align with the company’s brand and marketing goals.
  • Create and schedule engaging content for social media platforms.
  • Track and analyze social media performance metrics to inform future strategies.

  • Education Required: Bachelor’s Degree

    Requirements
    • Bachelor’s degree in Business Administration, Accounting, Finance, or a related field from an accredited institution.
    • At least 3-5 years of experience in an executive assistant role with demonstrated accounting responsibilities.
    • Proficiency in accounting software (e.g., QuickBooks, SAP) and MS Office Suite, particularly Excel and PowerPoint.
    • Excellent organizational skills, attention to detail, and the ability to handle confidential information with discretion.
    • Preferred Qualifications:
    • Certification in accounting or finance (e.g., ICA, CPA, CFA) or relevant project management certification.
    • Background in real estate or construction industries is an advantage.
    • Strong interpersonal skills and the ability to adapt in a fast-paced, dynamic environment
