The Executive Assistant (EA) to the CEO plays a critical role in ensuring the smooth functioning of the executive office. The EA provides high-level administrative support, manages the CEO's schedule, coordinates internal and external communication, and serves as a key point of contact for stakeholders. This position requires exceptional organizational, interpersonal, and multitasking skills, with the ability to maintain confidentiality and exercise discretion.
Key Responsibilities:
Administrative Support:
Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
Draft and proofread correspondence, presentations, and reports.
Prepare agendas, take minutes, and follow up on action items from meetings.
Handle sensitive and confidential information with professionalism.
Communication and Coordination:
Serve as the primary point of contact for internal and external stakeholders.
Screen and prioritize emails, calls, and other communications for the CEO.
Liaise with the Board of Directors, senior management, and external partners.
Facilitate effective communication between the CEO and team members.
Project Management:
Assist the CEO in managing key projects, ensuring deadlines are met.
Conduct research and provide insights to support decision-making.
Coordinate cross-departmental initiatives as directed by the CEO.
Travel and Event Coordination:
Plan and coordinate domestic and international travel, including flights, accommodations, and itineraries.
Organize and manage events, conferences, and meetings attended or hosted by the CEO.
Office Management:
Maintain records and filing systems for the executive office.
Monitor budgets and expenses related to the CEO's activities.
Manage special tasks or ad hoc projects assigned by the CEO.
Strategic Support:
Provide insights and recommendations to streamline processes and improve operational efficiency.
Anticipate the CEO’s needs and proactively address potential challenges.
Qualifications:
Education: Bachelor’s degree or Masters in Business Administration, Communications, or a related field.
Experience: Minimum of 5 years of experience in a similar role supporting C-level executives.
Skills:Strong organizational and time management skills.
Exceptional verbal and written communication abilities.
Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
Familiarity with project management tools and CRM software is an advantage.
